District Review * Procedures and Guidelines for Submitting Proposals

Welcome! The District Review process provides a means for an individual, organization, or business entity to submit a proposal or request to interact with school sites. Select the item which best describes the nature of your proposal. Once you have made your selection, you will be provided with procedures and guidelines to review, complete and submit.

WHY WE HAVE A DISTRICT REVIEW COMMITTEE

The District Review Committee reviews all proposals that involve participation of students, parents and / or school staff. Proposals are examined to determine how they align with the board approved priorities / goals. Acceptance of proposal is based on its alignment with our approved School Board priorities / goals.

HOW TO SUBMIT A PROPOSAL
  1. Submit your proposal through the online form.
  2. GENERAL PROPOSALS: If you have additional material that will accompany your online proposal (support documents/examples), you will need to mail 15 copies of each document to the address on the coversheet as soon as possible after your online submission. A printable COVERSHEET for this packet of attachments will be available to you after you submit your proposal. The coversheet will have a reference number on it. IT IS VERY IMPORTANT THAT YOU INCLUDE THIS COVERSHEET! Details on General Proposal Form.
  3. FUNDRAISER PROPOSALS: After you submit your fundraiser proposal, please send a Certificate of Insurance to us (details on Fundraiser Proposal Form). PLEASE NOTE: Approved fundraising vendors are required to be registered vendors with the school district AND to comply with the Jessica Lunsford Act. >Click here to register as a vendor. >Click here to see Jessica Lunsford Act requirements.
  4. All proposals and any additional materials must be submitted no later than three working days prior to the committee meeting date.

Please note that all distribution materials submitted to the District Review Committee must include the following disclaimer: “Distribution of this information does not imply endorsement of this activity or event by Hillsborough County Public Schools.”

WHAT HAPPENS AFTER A PROPOSAL IS SUBMITTED?

After you submit your proposal, your proposal will be assigned a committee meeting date (see list of dates). IF your attachments (if any) arrive AFTER your proposal's assigned meeting date, your proposal will be re-assigned another review date. This ensures that we have all supporting documentation prior to making a decision.

Upon review of your proposal, the committee will assign one of three "approval status'" to your proposal:

1.) APPROVED: Approval does not guarantee participation. Instead, it is an approval to approach schools. It does not obligate school staff to meet with representatives from the organization nor to participate. Participation is always at the discretion of the site administrator. Please note:If your proposal involves advertising your business (i.e., dance, art, martial arts class, tutoring, or sports camp) and there is a cost to the participant, please be advised that your information will not be approved for general distribution.  However, one copy may be eligible for inclusion in the school's "Community Resource Notebook" following review by the Committee.

2.) APPROVED WITH CONDITIONS

3.) REFERRED to OTHER AGENCY: Some proposals are referred to other agencies.

4.) NOT APPROVED

Approval status is valid for the current school year only. Approval status is now displayed online.

  • General Proposals: Submit 15 copies of each document (one for each committee member)
  • Fundraiser Proposals: Send certificate of insurance, promotional materials, and all applicable forms.
