Presentations and Interviews - Continuing Service Contracts

Oral presentations and interviews by short-listed firms are required on most projects. The final ranking of the short-listed firms in each category will be based solely on the ratings from these presentations. (Evaluation Form)

FS 287.055 (4)(a) states that the agency procuring professional services "...may require public presentations by, no fewer than three firms regarding their qualifications, approach to the project, and ability to furnish the required services." The Selection Committee requests that each presenter clearly address these criteria during the course of their presentation. The following is offered for your consideration:

  • Qualifications - Emphasize your firm’s strengths and the strengths of your proposed project staff. Stress those services that you do particularly well, and that distinguishes your firm on continuing service type work. Explain how your strengths could benefit the District.
  • Approach to the project - Tell how your firm approaches continuing service contracts. You are not required to propose specific solutions to any specific project. How does your firm provide service in managing the issues of scope, schedule, budget, etc. Also provide any additional information relevant to your firms approach to this contract.
  • Ability - Demonstrate that your firm has the resources to accomplish this continuing service type work. Be specific in regard to experience and skills of your staff in providing services on a continuing basis.

You are encouraged to provide whatever additional information you believe would be valuable to the Selection Committee in their efforts.

Remember, the presentations are more about your team, and less about a specific project. The focus of your presentation should be your team's strengths and capabilities "in light of" the challenges posed by the nature of continuing service work and how utilizing your firm would be a benefit to the District.

It is anticipated that the presentations will take place at the Operations Division offices located at the Velasco Student Services Center. However, the Selection Committee reserves the right to conduct telephone interviews in lieu of face-to-face presentations.

If face-to-face presentations are scheduled, equipment will be ready and available should you desire to present computer-based materials. This equipment will include a laptop computer running Windows 7 with a USB Drive and an LCD projector. Use of this equipment is entirely optional, and is neither encouraged nor discouraged. There will be as many as seven members of the Selection Committee present to hear each presentation. Space will be limited. The presenting team should be limited to no more than four individuals. Fewer is better.

Presentations will be scheduled on ten (10) minute intervals. Each presentation is explicitly limited to seven (7) minutes maximum. Setup, if any, must be accomplished within this seven (7) minute time period. Presenters are requested to reserve two (2) minutes of the seven (7) minute period for questions from the committee, failure to do so may adversely affect your score.

All firms making presentations to the selection committee are required to provide an electronic copy of their presentation that will be archived by the District. Note that these presentations are public record. Persons requesting copies of public record documents must provide the media on which the documents are to be copied.
